“TL;DR: Hire Rachel. Seriously!
If you’re wondering whether a day-of-coordinator is worth it, the answer is yes. If we could go back we would have allocated more funds towards her for full-planning services!
The best way we can describe Rachel is this: she is a problem solver. She sees issues before they become problems, handles challenges without creating stress for the couple, and does it with a cheerful attitude.
There are undoubtedly dozens of things she handled that we will never be aware of because she took care of them before they ever reached us.
One thing that stood out to us was how universally praised she was by literally everyone involved in our wedding. Our families, friends, officiant, venue staff, audio technician, caterer, reception coordinator, DJ, and ceremony venue owner/director all took time to tell us how fantastic she was. We GENUINELY heard as many compliments about Rachel as we did about the wedding itself! lol.
Some Examples:
- She took over converting our ceremony song selections into a format our sound technician could use. What would have been a huge last minute project for the bride wasn’t even an inconvenience because Rachel simply took it on.
- At the rehearsal, she managed to keep everyone focused. Despite our families and wedding party being, admittedly, not always the easiest group to wrangle.
- We realized at the last minute that we had forgotten to charge our camcorder for the ceremony. Rachel didn’t miss a beat, she got the camera charged, positioned it, and had it ready in time to press play for us. Because of her we can relive our ceremony.
- She independently improved our pre-ceremony popcorn stand. Rachel happily filled the popcorn boxes. But ALSO coordinated with the venue owner/director to source display stands that made it look far better and more professional than we envisioned.
- She personally distributed bouquets and boutonnieres, and helped pin them!
- Rachel coordinated directly with the reception venue so we could avoid entering through a crowded public area. Instead we were able to have a private arrival to our cocktail hour. This was something we never would have found for ourselves and it made a huge difference in our experience.
- We got stuck in the crowd durring our reception enterance. Rachel, without skipping a beat, got ahead of us to make a path so that we could continue with the festivities. What would have been a weird moment for us, went smoothly because of her.
- We had unexpected guest cancellations that left an entire table empty just before the reception. She found a fix to disguise the table and none of our attending guests even noticed the issue.
- She also managed to magically keep our drinks refilled through the night guys!! We never even went to the bar because Rachel personally ensured we always had a drink in hand.
- She even found time to play part-time photographer for us! Rachel took it upon herself to capture our big moments. She absolutely did not have to do that, but it speaks to how invested she was in making sure we had the best possible experience.
-At the end of the night, Rachel handled collecting decor and loading everything into the appropriate vehicles. Which let us soak in the precious last moments of our wedding.
