Founded by Kaiya Smith, formally trained, deeply experienced, and relentlessly detail-oriented. We offer full planning, partial planning with design, and event management for couples who want their day to feel effortless, intentional, and entirely their own. Black-owned. My philosophy is simple: you should never have to worry. Not during planning, not the week before, and especially not on the day itself. That's my job. What sets Kaiya Smith Events apart is formal training, years alongside Northern California's top planners, and a design sensibility that goes beyond logistics. I don't just coordinate your day, I help shape how it looks and feels. I solve problems before you know they exist. I treat every couple like people, not projects. And I show up, fully, calmly, and completely.

    Couldn’t have asked for a better coordinator!

    We hired Kaiya for our June 2026 wedding as a day of coordinator, but Kaiya gave us so much more! She checked in frequently throughout the year of our wedding planning, and took over all communications with our vendors in the last three months. Kaiya is very responsive via email and text and was very flexible in accommodating our busy work schedules to meet. She is very organized and detail oriented. She provided us with tools and worksheets to make our wedding planning efficient. On the day of the wedding Kaiya and her team made sure we did not lift a finger and made our day stress free. We couldn’t have picked a better coordinator for our wedding!

    Exceeded expectations & brought full peace of mind

    I am SO glad that we entrusted Kaiya with our event room block management. I am a Type A individual and Kaiya gave me such peace of mind in the weeks leading up to and on our wedding day. Here are a few things that Kaiya went above and beyond with that fully exceeded my expectations: - She negotiated and secured a great room block with additional benefits for us and our guests. - Led communications with vendors and a challenging venue team. (Huge stressor off my plate). - Advised me through a sticky personal guest situation that resulted in a totally peaceful wedding day. - Procured a last minute rain tent 3 days before the wedding so that we could still use the entire venue space that we paid for. I didn't see much of Kaiya on the wedding day but I DID see our vision come fully to life! Kaiya truly allowed me to be a guest at my own party and I am SO grateful for that. THANK YOU, KAIYA!

    Extremely helpful!

    It was a pleasure working with Kaiya! She was very cooperative, knowledgeable, and organized throughout the entire process. The package I chose with Kaiya was the event management service. Wedding planning was a bit stressful for me since it was just my partner and I planning the whole thing together but 3 months before the event Kaiya jumped in and helped manage all of our vendors, helped with day of timeline, and more. She also helped coordinate the rehearsals and the day of the wedding. I truly did not have to worry about a single thing on my wedding day, Kaiya handled everything with ease and care, and she guided us through our timelines of events that day with expertise. Without her I don’t know how I would have been able to manage everything on my own. I appreciate her greatly and am glad I was able to work with her! Thank you again Kaiya!

    Excellent!

    Working with Kaiya was hands down one of the best decisions we made for our wedding. Throughout the entire planning process, she was incredibly helpful, remaining flexible and available for meetings that worked around our demanding work schedules. She took the lead on organizing and communicating with our vendors, and when the big day finally arrived, she and her organized team ensured every detail followed our timeline perfectly. Beyond the logistics, Kaiya made sure my husband and I were well tended to all day, allowing us to truly enjoy ourselves while she brought our specific vision to life. Our guests are still raving about how wonderful the wedding was, and we would highly recommend her to anyone looking for a seamless, stress-free experience!

For full service planning, we recommend booking 12–18 months in advance. For partial planning 6-9 months in advance. For day-of coordination, at least 2–3 months before your wedding is ideal.

Yes, we offer payment plans to make investing in your wedding planning more manageable. A deposit is required to secure your date, and the remaining balance can be paid in installments leading up to the event.
