[The venue](https://www.zola.com/wedding-vendors/search/wedding-venues) is often the first thing that couples book when [wedding planning](https://www.zola.com/wedding-planning). It’s a big decision, and there’s much to consider. Here’s what you might not know about working with [wedding venues](https://www.zola.com/wedding-vendors/search/wedding-venues).

## Venues Can Help With the Bigger Picture

When looking at [venues](https://www.zola.com/wedding-vendors/search/wedding-venues), couples are often at the stage of just starting to understand what goes into planning a [wedding planning checklist](https://www.zola.com/wedding-planning/checklist) and scope of which it relates to their own special day. Luckily, venues can help with a lot of that. “Bring questions about weddings in general—the venue can help fill in some of the gaps in your understanding of how wedding processes work,” says Mandy Schmidt, event director of [The Haven at Tomales](https://www.tomaleshaven.com/), north of San Francisco. 

“Don't feel like you have to just stick to venue-related questions. While the venue representative is not a wedding planner—and wedding planners are so important!—it can be helpful to have someone assist you with the big-picture questions when you are newly engaged. This can help you develop a better vision for what you do and don't want for your day in general.” 

Venues can even help with questions you haven’t thought of yet. “I do my best to anticipate and lay out answers to all the questions our clients may not be asking,” says Kate Macconi, events manager at Utah’s [Solitude Mountain Resort](https://www.solitudemountain.com/). “Some of them aren’t even thinking, ‘Will the venue require that I hire a day-of coordinator? Will I need to find a caterer, or does the venue require on-site catering? Can I get married off-site but throw a wedding reception at Solitude?’ These are all questions worth asking at every wedding venue.”

## Good Communication Is Key

Wedding venue owners are inviting you into their home—figuratively in some cases and literally in cases such as private estates. “It’s an honor to host you, and we want everything to be as you imagined—we want to bring your guests to a magical place that will give them the most incredible wedding experience with the most memorable backdrop,” Schmidt notes. “However, we can't meet your expectations without communication! Be open about things that are high on your priority list at booking to make sure [that] the prospective ceremony site is truly a good fit. Have an honest and open discussion about what your vision is so that you can be guided down the right path.” 

“My number one piece of advice is don’t hold back on vocalizing your vision and asking a lot of questions,” adds Macconi. “At this point, we have seen it all, and we have many resources to help your dream wedding come to fruition. The more advance notice we have, the better we will be able to attend to your unique needs and make your day perfect and extra-special.”

## Come Prepared

Have a general sense of your budget. “Although we encourage every couple to work with a wedding planner on penciling out a budget, it is helpful to have a ballpark idea of what your budget will be,” Schmidt says. “We can give you some input on whether it is a realistic figure based on the wedding structure you are describing.”

She adds that it’s key to discuss your vision for the venue with your partner before relaying the idea to your [wedding photographers](https://www.zola.com/wedding-vendors/search/wedding-photographers) or [wedding vendors](https://www.zola.com/wedding-vendors)—and it’s an important decision: “Your venue will set the tone to your wedding. Spend some time having a heart-to-heart about what you honestly picture as the backdrop to your wedding photos. Where do you want to gather and celebrate, surrounded[ed] with by your guests?”

## If the Venue Is Public, Know the Scope of the Exclusive Space

Solitude is a working resort and open to the public, Macconi notes, so “while we will designate your wedding ceremony and reception venue as private, we won’t shut the resort down entirely. It’s worth asking about the scope of exclusive space: ‘Are there multiple parties being hosted on-site on my date? How much space will be exclusively for our wedding celebration, and during what times?’” 

## Differentiate Between Value-Added and Added Value 

If a reception venue has tables and chairs included, but they don't fit your vision, that doesn't make it a benefit—you would still be renting additional tables and chairs. “Truly analyze which venue perks and modern amenities are actually contributing to your vision for the day, not just line items on a proposal,” Schmidt says. 

“For example, if you envision the bridal party getting ready on-site and spending all day together, a venue that has two separate dressing spaces with all-day access will have meaningful value for your wedding day. Another example would be a venue with lots of natural beauty already in place, such as a well-manicured garden with lush greenery or a breathtaking view—you can save on adding decorative inputs if unique and beautiful aspects are already part of the gorgeous venue's natural landscape.”

## Know How Much You Can (and Want to) Customize

“Analyze how a prospective venue is structured—is it a blank slate that you can decorate to your heart's content and completely customize, or is it relatively pre-established, such as a hotel, with lots of structure already in place?” Schmidt advises. “How much are you able to personalize the space, and how much do you want to be able to personalize the space?” 

If you want to DIY, be sure to communicate that to the venue and make sure that your plans fit within their scope. “Read your agreement with the venue closely and understand what is or isn't going to be allowed,” she says. “Some things, such as tape or nails, might seem like a harmless way to hang decorations, but after a few weddings, the walls will likely never look the same. Work with your reception venue and wedding planner to make sure that everything will come out beautifully and avoid unintended damages.” 

At Solitude Mountain Resort, “from the beginning of the planning process, we come up with the physical layout of the room(s) together, providing tables and linens as a blank canvas for clients or their designers to set up,” Macconi says. “This leaves room for a ton of creativity, and the sky really is the limit. However, anything they want to bring with them must be taken out of the venue on the night of the special event, so you’ll want to designate someone to do that.”

## Respect the Rules

“If the rule is in your agreement, it is there for a reason—to help your day go smoothly!” Schmidt says. “But we are happy to explain why. We are working hard to help your day be a success. We have seen what does or does not work well in our spaces from previous wedding experiences and only want you and your guests to have the most positive experience possible, including a safe and comfortable environment and smooth guest flow. Our goal is an incredible guest experience in a memorable backdrop that is as unique as your love story is.”

Keep all these tips in mind because a venue is not just the setting for your wedding celebration—it’s the backdrop to most of your wedding memories. It’s vital to have a good working relationship with your venue to make sure that your day is a success. Remember that the venue wants to help you achieve your vision as much as you do. And one final piece of advice from Schmidt: “Ask your venue for the best time of year—microclimates exist!”

- __Included Services:__ The rental fee for the Carlisle room will cover a number of essential wedding services, including tables, chairs, glassware, dishes, cutlery, chair covers and linens, complimentary cake cutting, access to the venue starting at noon, four hours of event time, and a personal food tasting. Catering, additional event hours, and parking cost extra.

- __Ambient Decor:__ The Carlisle Room combines Art Deco architecture with modern decorative elements. Twenty-foot ceilings, marble walls, and artistic terrazzo floors come together to give this venue its unique look.

- __A Spacious Main Room:__ The main reception area at the Carlisle Room is 5,500 square feet. A ceremony room may also be rented, along with dressing suites.

When touring potential locations, you’ll want to find out if they provide tables, chairs, lighting, and other basics. Some venues even offer built-in catering and musical performers. Other venues, however, offer a more DIY experience, which some couples may prefer.

- __Size:__ Not all venues are built to accommodate a 300-plus guest list. On the other hand, a large venue may feel too empty for a small, intimate ceremony. Every photographer’s editing philosophy is different. Some photographers offer minor retouching for free but charge extra for any major corrections.

## 25. What Is Your Refund or Cancellation Policy?
It’s always a good idea to inquire about refunds and cancellations before signing a contract. Make sure to discuss the cancellation policy and whether or not you’ll be able to get a refund for your deposit and any payment installations.

## 26. What’s the Timeline for Delivering the Wedding Photos?
Depending on how busy your photographer is and how in demand their services are, you can usually expect to receive your full wedding gallery three to six weeks after your wedding day. Ask your photographer what their typical turnaround time is for galleries so you have a realistic expectation upfront. Some photographers may even allow you to pay a rush fee if you want to get your photos back quicker.

## 27. How Many Final Images Will I Receive?
Discuss with your photographer how many images they plan to deliver in your final wedding gallery. Keep in mind that the longer your wedding, the more images you will likely receive.

Receiving 50-100 photos per hour of coverage is usually the norm when it comes to wedding photography. For a standard eight hours of wedding coverage, you should receive between 400 and 800 images, but this can vary between photographers.

## 28. Can You Assist With Selecting Images Once We Receive the Full Gallery?
If your photographer allows clients to select their favorite images out of the gallery to download or print, ask if they can assist with this process. They’ll have a better idea of which images will be the best for an album or prints.

## 29. How Do You Share Access to the Photos?
Most wedding galleries are delivered in a digital format. Your photographer may send your photos through an online service like WeTransfer, Dropbox, or ShootProof. Be sure to ask if there’s a time limit for how long you’re able to download the photos and if there’s a fee to retrieve the images after that date.

You might also have the option of purchasing a flash drive with your wedding photos already downloaded onto it.

## 30. Will We Have the Rights to the Photos?
Most photographers will retain the copyright to photos they’ve taken while giving you a license to print and publish the images. However, this license may have some restrictions that prevent any further editing or retouching of the photos.

Discuss what rights you’ll have to the photos and watch out for language in the contract that states you need permission to use your wedding images.

## 31. Do You Provide Unlimited Downloads of the Final Images?
Discuss with your photographer whether they allow unlimited downloads from the final gallery or only a certain number. If you have friends or family members who also want the photos, be sure to ask if multiple people are allowed to download the files.

## 32. Do You Provide the Raw Image Files?
Raw files are images straight out of the camera with no compression, editing, or retouching applied. It’s standard practice in the industry for photographers not to give out raw image files to clients. There are a couple reasons for this: First, raw image files are very large and can’t be opened without special editing software. Second, since raw files are completely unedited, they may not match the photographer’s style or look as professional as their retouched images.

If you really want the unedited images, discuss this with your photographer upfront. They may give you access to the raw files for an additional fee.

## 33. Can We Order Prints from You?
If you plan to order prints of your wedding images, the process is often easier if you can order them straight from your photographer rather than going through a third party. They’ll be able to walk you through the process from start to finish and suggest the best images for printing.

Just like with prints, if you want an album of your wedding gallery, the process is typically smoother if you go through your photographer instead of a third party. Discuss if they offer albums and how much they cost.

## 35. Do You Offer Album Design Assistance?
If you can’t order an album through your wedding photographer directly, ask if they offer assistance with designing the album through a third party. Be sure to discuss any fees associated with these services.

## 36. When Can We Expect to Receive a Contract?
Find out when you can expect to receive a contract and when it’s due back with your signature. Make sure this time frame allows you enough time to read the contract thoroughly before signing.

Avoid any photographer who says they don’t send a contract! Having a legal agreement protects both you and the photographer from getting scammed.

## 37. Do You Carry Liability Insurance?
Discuss with your photographer whether or not they carry liability insurance, which protects them from lawsuits in the event of injuries or property damage. Many venues require their vendors to carry liability insurance, so this is definitely something you want to consider before signing a contract.

## 38. Will You Have a Backup Plan in Place?
Ask whether they have a backup plan in place in the event that they’re unable to photograph your wedding due to sickness or another unexpected circumstance. In these situations, many photographers outsource the shooting to another local photographer with a similar style. Then they’ll edit the images to add their special touch to the final product.

## 39. Will You Be the Only One Shooting My Wedding? Do You Have Assistants?
Want to make sure every moment—both big and small—is captured on your wedding day? Hiring a photographer who will bring along a secondary photographer or photography assistant will ensure that nothing is left undocumented. This also means you’ll get a variety of different shots and angles when you say “I do.”

## 40. Will You Be Shooting Any Other Weddings That Weekend?
Ideally, you want your photographer to have the entire weekend free to focus on your wedding. That way, they’ll be able to dedicate all of their attention to your big day rather than balancing multiple events. However, it’s not necessarily a deal-breaker if they have another wedding booked if the venues are a reasonable distance from each other.
