Gavin Esham is a Pennsylvania-based wedding and event planner who combines artistry, creativity, and organization to craft meaningful celebrations. With a background in opera, theater, and dance from Northwestern University, he spent years performing on stages across the world — from international venues to Broadway. That experience gave him a unique perspective on timing, flow, and the energy it takes to create unforgettable moments. After stepping away from the stage, Gavin was recruited into the world of events, where he discovered his passion for guiding couples and clients through the planning and design process

YOU NEED GAVIN!!!
We had the backyard wedding of my dreams because Gavin (and my family!) helped me bring every crazy vision to life. It was so complicated to throw a backyard wedding in a rural area. Gavin met with us and guided us every step of the way and became part of our family (we ended up inviting him to our rehearsal dinner haha). We needed to hire over 10 different vendors. Gavin coordinated each of them so the entire weekend was relaxed and seamless for my family and I. When our caterer ghosted us 3 months before the wedding, Gavin found us an even better one. When we wanted to add a 70 year old truck to the ceremony, he made it happen and even had my father in law step in as flower girl (which was hysterical). He coordinated the set up of all my crazy ideas (except the bad ones, which he rightly told me to abandon) to create a truly unique and exceptional event. Many guests told me it was the best or nicest wedding they had ever been to, which is quite a feat for a backyard party! I would hire Gavin again and again. He made me feel so comfortable to call or text with any little stress in the planning process (don’t abuse his kindness!!). Seriously, call me if you are thinking of hiring him and we can talk at length about why you need him. Ask Gavin for my number, he will give it to you :) I hope you have the best wedding!

A nor’easter wedding of our dreams!
Gavin has my absolute highest recommendation. He was easy to work with (and SO incredibly fun to work with) during the planning process and kept us on all the important timelines. When we started to feel the stress, he was amazing at reassuring us and calming the nerves. As a September nor’easter bride, almost every event of the weekend had to pivot to alternate locations or backup plans. As the bride, I felt none of the logistical stress. The morning of our wedding, we all woke up with no power in our cabins and no power at the ceremony site due to the storm. I opened my phone and saw there was already a plan in place for hair and makeup for the bridal party. There was a plan in place for the ceremony even if the power did not come back on. What could’ve been a disaster was entirely mitigated by Gavin and his working/coordinating with all the vendor teams. I never had any fear that things wouldn’t work out knowing Gavin was working to ensure we’d still have the party of our dreams. I cannot thank you enough Gavin. If you are looking for a planner, look no further as you have found the one!

Would absolutely recommend!
Vicky provided absolutely amazing wedding management and support on our wedding day. We truly could not have been more grateful to have her there. She jumped right in from the moment she arrived, quickly getting up to speed on all of our plans, coordinating with our venue and vendors, and making sure everything was moving smoothly. Her support became even more invaluable when the Nor’easter forced us to pivot our entire wedding at the last minute. What had been planned as a fully outdoor wedding including our ceremony, cocktail hour and reception dinner suddenly had to be moved completely indoors. Through all of those changes, Vicky helped coordinate between the venue and our vendors to make sure our original vision still came to life, just in entirely different spaces than we had planned. She handled so many of the moving pieces behind the scenes and remained calm and composed throughout all of the last-minute changes. Even with everything happening around us, she never made the situation feel stressful or chaotic. Having Vicky there meant I could finally step away from the logistics, trust that things were being handled, and focus on actually experiencing and enjoying our wedding day. She took initiative and stepped in where she was needed without me having to constantly provide direction or manage what was happening behind the scenes. Beyond being incredibly helpful, Vicky was also such a pleasure to work with. While my fiancé (now husband!) and I were getting ready in two different locations, she helped coordinate between the two of us throughout the day, while also regularly checking in on me to make sure I had everything I needed. She distributed our personal florals to both of our families and was constantly stepping in wherever she could be helpful. We felt incredibly supported on a day when so much had to change unexpectedly. Vicky was calm, pleasant, proactive, and willing to jump in wherever needed, and we are so thankful she was part of our wedding day. We would absolutely recommend Vicky to any couple looking for someone who can step in, take initiative, coordinate all of the moving pieces, and help make sure they can actually be present and enjoy their wedding day.

When even your vendors rave about your coordinator
Gavin was more than just a day-of coordinator. He visited our remote wedding venue the day before the wedding to lead the ceremony rehearsal as well as the Thursday to help us look at the reception layout. He went above and beyond to make sure the day went smoothly. Gavin ensured we had built in extra time into the day so that we didn't feel rushed during the photos. We had a Jewish wedding ceremony which involved some additional bells and whistles and Gavin leaned in to make sure he understood and executed those details. While I have only planned my own wedding, our other vendors attend weddings all the time, and our photographer let us know he was the most thorough day-of coordinator he had ever worked with, while our makeup artist said she loved him and asked how we found him. The day of the wedding went very smoothly. I don’t think Gavin arranged for the weather to be so nice, but if he had, we wouldn’t be surprised! Gavin, thanks for taking on the final details and ensuring it was a truly special day.

The Wedding Whisperer
In complete frustration over the increasing details of wedding planning, I happened upon Gavin and immediately felt compelled and confident in handing him the reins. At our first meeting he told me he would be my "wedding whisperer" and that sealed the deal. Always quick to respond, provide advice when needed and very personable and witty. Our family loved him. He provided the most comprehensive, impressive timeline that covered everything! Best decision ever.
