For lodging, we recommend against booking accommodations in San Francisco, since it'd be a 1 hour+ drive each way. Staying in Saratoga or Los Gatos will allow you to get home easily at night. Here are two hotel recommendations.

By car, The Inn at Saratoga is about 4 minutes from the reception at Hakone Gardens and 25-40 minutes from Stanford. While it is technically 17 minutes away from Hakone on foot, the path is steep and some sections may be poorly lit at night.

By car, the Toll House Hotel is about 10 minutes from the reception at Hakone Gardens and 30-40 minutes from Stanford. Further and more expensive than The Inn At Saratoga.
Travel Note
Airport Tips
We recommend flying into either San Francisco (SFO) or San Jose (SJC). SJC is closer to the event locations, but SFO may have cheaper flight options. Oakland (OAK) works too, but it is the furthest and a small airport.
